Transcript Request Process

Alumni & Former Students

A cumulative scholastic record is maintained for every student enrolled in Loudoun County Public Schools.  The Student Records Department supervises the administration of active and inactive student scholastic records, provides onsite record management training for school staff, archives eligible student records, fulfills requests for records not located in schools, and provides education verification to requesting agencies. LCPS offers a convenient and secure website for former students and third parties to request student information or records online.  

Current Students

Any currently enrolled Loudoun Valley student who needs an official copy of his/her high school transcript will need a parent/guardian to make a formal request by completing a Transcript Request Form.

Non-College Application Transcript Requests

  • Login to SchooLinks through LCPS Go.  You will use the SchooLinks Records Requests to send your official transcript to any organization other than a college (i.e. NCAA, scholarship organization, employer).

  • Your school counselor cannot send your transcript unless your parent/guardian has submitted a transcript request form.

 Senior College Application Transcripts

Parent/Guardians:

  • Submit Transcript Release Form

    • A parent/guardian must submit one transcript release form. This single transcript release form gives Loudoun Valley HS permission to send your student's transcript to all of the college and scholarship applications you request a transcript for through SchooLinks during the 2023-2024 school year. If the student is 18 years old, he/she may submit their own transcript request form.   

    • Transcript requests must be submitted at least 2 weeks in advance of the deadline. 

    • We cannot send your student's transcript unless we have a transcript release on file, so we encourage you to submit early to avoid delays. Transcript Request Deadlines for '23-'24

    • A mid-year transcript with 1st semester senior grades will automatically be sent to the colleges/universities you specified on your initial transcript request forms.

    • A final transcript will automatically be sent to the college indicated on your senior survey in May.

  • Submit Parent Insight Sheet

    • If the college your student is applying for requires a counselor's letter of recommendation, please submit the Parent Insight Sheet.  This helps provide additional insight and perspective to write a letter of recommendation that fully captures your student's experience and strengths.

Students:

  • You will use the College Application Manager within SchooLinks to request your transcripts be sent to colleges you're applying to. You will add each college you're applying to SchooLinks, which will notify your counselor that you would like your transcript to be sent to that institution.  You can review your transcript requests through SchooLinks

  • Your school counselor cannot send your transcript unless your parent/guardian has submitted a transcript release form.

  • The counseling office requires 2 weeks to process your transcript and letter of recommendation requests. Please ensure you add the college to SchooLinks at least 2 weeks before the college application deadline. Please account for breaks and holidays (Transcript Request Deadlines for the Class of 2024).

  • When completing your applications, please remember the following:

    • Your cumulative GPA is always weighted when reported by LCPS

      • The LCPS grading scale is considered a 4.0 scale.

      • Your class rank is weighted when reported by LCPS

      • Add the application to SchooLinks at least 2 weeks prior to the college application deadline.

  • Common App

    • This is the most frequently used college application platform. It enables you to enter your demographic and educational information only once and complete college-specific supplemental information (i.e. essays) through one convenient platform.

    • You will add these college applications to SchooLinks and indicate you are applying via Common App.  The Common App is linked with SchooLinks to process your college applications.

    • In order to link Common App with SchooLinks you will need to sign the FERPA waiver within Common App.

  • Coalition App

    • Enter the colleges you applied to within Coalition Application into SchooLinks, as this is the official college application tracking record for LCPS.

    • Coalition App colleges accept electronic transcripts through SchooLinks.

  • Common Black College Application

    • It allows you to apply to many HBCU's with one application.

    • When completing the CBCA, enter your school counselor's name and email address.  This will send an email to your school counselor prompting them to upload your transcript to the CBCA portal.

    • Enter the colleges you applied to through the CBCA into SchooLinks, as this is the official college application tracking record for LCPS.

  • Colleges using Self-Reported Academic Record (SRAR)

    • Enter the colleges into SchooLinks, as this will enable us to send your mid-year and/or final transcript to these colleges, even if you do not need it for the initial application.

    • An unofficial copy of your transcript can be found in the "Documents" section in StudentVUE.

  • Requesting Teacher Recommendations:

    • First, speak with the teacher in-person at least 3 weeks before the college application deadline.

    • Once the teacher agrees to write a letter of recommendation, submit the official request through SchooLinks.

    • Consider the following:

      • Is it required by the college?  If it is not required nor highly recommended, do not request one as it likely will not be read by the college.  

      • How many letters of recommendation are required or highly recommended by the college?  Only request the number that the college has stated they will consider.  Any additional letters will likely not be considered.  

      • Which teacher is best able to speak to my abilities as a student and my character?  

      • Does the college require a teacher from a specific discipline?  For instance, some colleges or majors may request a teacher from that discipline, such as a math teacher for an engineering major or an art teacher for colleges specializing in fine arts.

      • Teachers who agree to write letters of recommendation will spend a significant amount of time to write a thoughtful and impactful letter of recommendation. Please respect their time by not requesting a letter if it not required nor recommended by the college.

  • Requesting Counselor Recommendations:

    • School counselor recommendation requirements are determined by the college. When you add an application to SchooLinks, it will automatically notify the counselor if a letter of recommendation is required or recommended.

    • If it is not required or recommended by the college, their letter will likely not be read. Your school counselor will invest a significant amount of time in writing a thoughtful and impactful letter of recommendation. Please respect their time by not requesting a letter if it is not required nor recommended by the college.

    • If a counselor's letter of recommendation is required, please complete a Student Insight Sheet prior to entering the college into SchooLinks. If we have not received a Student Insight Sheet at the time you request a counselor's letter of recommendation, we will notify you to submit one.  There may be a delay in submitting your letter of recommendation until we receive your insight sheet..

  • Send your SAT and/or ACT scores

    • LCPS does not send scores to colleges, so you must request those to be sent directly by the testing organization. Please do so at least 3 weeks prior to the deadline to avoid delays.

    • SAT scores must be sent directly from College Board.  

    • ACT scores must be sent directly from ACT
